How to respond to a negative Google review
Short answer
Reply within a day or two, stay calm, thank them, own what’s fair, give a name and number to sort it out, then fix the problem. Your reply isn’t really for the reviewer. It’s for the next hundred people deciding whether to call you.
1. Wait an hour, then reply
Never reply angry. Read it twice, check the job notes, and talk to the crew. Then reply within a day or two. A fast, calm reply shows you take problems seriously.
2. The 4-part reply
- Thank them for the feedback, by name.
- Own what’s fair. Apologize for the part that went wrong, without arguing about the rest.
- Take it offline with a real name and direct number.
- Keep it short. Three or four sentences. No job details, prices or customer info.
Hi [Name], thank you for letting us know, and I’m sorry the crew showed up late. That’s not how we want to run a job. I’d like to make it right. Please call me directly at [number]. [Owner name], [Company]
3. Examples
Crew was late or messy: “You’re right, [Name], and I’m sorry. We should have called ahead and left the site clean. I’ve talked with the crew. Please call me at [number] so I can make it right.”
Price complaint: “Thanks for the honest feedback, [Name]. I’d like to walk you through the invoice line by line. Please call me at [number].”
Damage claim: “I’m sorry to hear this, [Name]. We carry insurance for exactly this. Please call me at [number] and we’ll get someone out to look at it this week.”
Not your customer: “Hi [Name], we can’t find a job under this name or address. If we’ve worked together, please call me at [number] so we can help.” Then report the review.
4. Can you get a bad review removed?
Only if it breaks Google’s rules: spam, fake, off-topic, offensive, or from someone with a conflict of interest like a competitor or ex-employee. Report it from your Business Profile. A review you simply disagree with stays up.
5. After you’ve fixed it
Once the problem is solved, it’s fine to let the customer know they can update their review if they feel differently. Never pay, offer a discount or pressure them to change it.
6. Bury it with honest reviews
One bad review among 12 hurts. One among 200 barely shows. The long-term fix is asking every customer, every time. See how to get more Google reviews.
What never to do
- Argue, blame the customer or share job details in public.
- Offer money or a refund in exchange for deleting a review.
- Ask friends or staff to post reviews to balance it out.
- Ignore it. No reply looks worse than a calm one.
